ScaleACT-24 Swap & Sell General Information
Please remember that volunteers run Swap and Sell as a service to all attendees of ScaleACT - this should be an enjoyable activity for everyone, so please play fair & play nice.
The ACT Scale Modellers’ Society (ACTSMS) volunteers take every care in looking after both merchandise and customers (both sellers & buyers); however, neither the volunteers nor the ACTSMS are able to take any responsibility for any discrepancies, missing parts or missing merchandise.
Capacity Limits: Capacity limits may be applied to the S&S area at busy times so please be patient whilst waiting to enter, especially during the initial rush on Saturday morning/early afternoon.
No Bags: In order to reduce the risk of theft, no bags will be allowed into the S&S area (other than sellers bringing in merchandise to sell). People are either to make other arrangements or leave them in the designated area at the entrance to the S&S.
Be Careful & Considerate. Treat the merchandise carefully, especially if you are opening things up – though please, if it’s sealed, leave it sealed! By all means check through for missing parts etc, but remember, until you buy it, it’s not yours so be careful with the items.
Cash sales only. We do not provide credit nor provide EFTPOS facilities for S&S, however, there are ATMs available within the building.
Holding Items. Yes, we will hold a few items for you whilst you get some cash, but if you don’t return in a reasonable amount of time (e.g. an hour or so), the items will go back out on the tables.
Deals. The S&S team are unable to do deals for customers, as the items aren’t ours, however, we can tell you who the seller is and you can try to bargain with them directly. The seller will then need to let us know of the deal you’ve struck (i.e. we can’t just take your word for it – no offence intended).
Returns. Because we can’t check the condition of items offered for sale, neither the volunteers nor the ACTSMS are able to take any responsibility for any discrepancies, damage or missing parts. If there is a problem with your purchase, we are happy to give you the name of the seller, so that you can sort out the issue direct.
Swap & Sell Timings
SnS opening times:
Saturday 10.30 am to 5.00 pm
Sunday 10.00 am to 4.00 pm
Pre-opening drop-off: Items can be dropped off on Friday evening (during setup) or on Saturday morning before 10:20am.
Drop-off during the event: Due to the hectic trading on Saturday morning, we will not be able to accept items for sale until the crowd reduces to a manageable level, so DO NOT bring in items for drop-off in the first couple of hours or so after we open. Other than that, items can be dropped off at any time during Swap and Sell opening hours.
Cash Out/Collection of unsold items: Sellers can collect their unsold items/sales proceeds at any time during Swap and Sell opening hours or by no later than 3:45pm on Sunday afternoon, as we need to begin vacating the room by 4:00pm.

Accurate documentation protects the buyers, the volunteers, and your investment – so please take the time to legibly and correctly fill out the S&S sheets. Please check that you have completed all details and have signed as accepting the terms and conditions listed below.
NOTE: If you do not fill out and sign the documentation, your items will not accepted for sale.
Documentation. Please provide details of the items that you are selling by downloading and then completing the S&S Sheets (below). This should be done prior to your arrival, preferably by typing the details into the sheets before printing, or printing the ‘blank’ sheets out and neatly handwriting the details. A limited number of blank sheets may be available at the S&Sell desk; however, this is a last resort, (ie don’t rely on this as an option, especially if you have a large number of items to sell). Finally, every item that you have for sale must have a sticker marked clearly and legibly with your Seller Code, distinct Item Number and price, e.g: [ JKS 9 - $25 ] ... [ JKS 10 - $15 ]
Please note that due to our streamlined checkout system, if an item does not have a sticker with a Seller Code, Item Number & Price, we will not be able accept the item for sale.
The volunteers do their best to match sold items to the sales sheet. However, in the past, there have been instances where ambiguous/illegible sale sheets and/or missing stickers have made that very difficult. Although we try to ensure that errors are minimised, ACTSMS will take no responsibility for any issues arising in these instances. To reduce the risk, please ensure that your sales sheets/price stickers match and are legible. Please note that ACTSMS will retain the S&S sheets that you provide – this helps us sort out any post-event issues that arise and assists with the ScaleACT wash-up process. If you want to keep your records, please keep an additional copy for yourself.Delivery. We are happy to accept items/documentation during the Friday afternoon set up period. If you are dropping things off on Saturday, this needs to happen before the big Saturday morning rush - so the drop-off period ends at 10:20 (i.e. ten minutes before we open). Once we open, given the large number of customers and hectic sales activity, it may be hours before we have the capacity to accept seller goods.
Also, given the large number of sellers and kits processed, the volunteers are unable to check off every item against your list. We trust that you bring all of the items that are on your list – and you trust that we take as much care of your items as we can. The ACTSMS will take no responsibility for listed items that are unaccounted for when you finalise your account.Finances. Please note that sellers are charged a commission on items sold – 3% of sales for financial ACTSMS members and 8% for non-members. This money goes towards offsetting the venue cost, table hire, etc. Sellers are able to collect their sales proceeds at any time over the weekend, however if you leave it until closing time on Sunday afternoon, there may be delays in tallying up your sheets and paying you out. Please ensure you collect your money/unsold items no later than 3:45pm on Sunday afternoon.
Incomplete or Damaged Kits. Please ensure that the items you are selling are complete or, if you know that your item is incomplete or damaged in some way, please make a note of it and include it with the price on the box. If an incomplete kit is identified and hasn’t been marked as such, it will be removed from sale. The S&S is run for all, so protect your investment and keep potential buyers on side by making it clear what you’re selling. As an aside, if you are worried about loose parts, consider bagging them up inside the box.
